Accepting Payments: Tracking offline payments

What counts as an offline payment?

Offline (or external) payments are any payments you collect outside of Talo Pay, including:

  • Cash

  • Checks

  • Gift card

  • Zelle

  • Venmo

  • Cash App

  • PayPal

  • Wire transfers

  • External card terminals

  • Any other payment method you handle manually

These payments do not process through Talo Pay but can and should be recorded for accurate reporting.


Two Ways to Record Offline Payments

Talo gives you two flexible options depending on where you are in the workflow.

  • Use Mark as Paid button when the payment already happened.

  • Use Other button when you're inside checkout and finishing the sale in real time.

1. Mark as Paid (from any order)

This is the fastest way to mark an invoice or order as paid after you’ve already collected payment.

How to use Mark as Paid:

  1. Click on Sales > Orders from the dashboard menu

  2. Open the order.

  3. Click Collect Payment.

  4. Select Mark as Paid.

  5. Choose the offline payment method (Cash, Check, Zelle, Venmo, Wire, etc.).

  6. Confirm.

This instantly updates the order status to "Paid" and logs the payment type in your reports.


2. Select “Other” inside Checkout / Cart

If you're inside the payment flow — for example, taking payment in person — you can also record offline payments during checkout.

How to record offline payment during checkout:

  1. Open the Cart or Checkout flow

  2. Advance to the Select payment screen

  3. Choose Other.

  4. Pick the payment method used (Cash, Zelle, Venmo, Check, etc.).

  5. Complete the sale.

This method is perfect when you're collecting payment on the spot and want to finish the checkout immediately.


Why use both options?

Both methods achieve the same outcome:


✔ The order becomes paid
✔ Reporting stays accurate
✔ Customer receipts can be sent
✔ You can track the payment type used


Benefits of Tracking Offline Payments

Recording external payments keeps your operations clean and consistent:

  • All payments — online or offline — appear in one place

  • Revenue reports stay accurate

  • Customer histories stay complete

  • Receipts can still be issued

  • No risk of double-charging

  • Easier bookkeeping and tax preparation

Even if most clients pay offline, your entire sales history stays centralized.


Do offline payments affect payouts?

Offline payments do not flow through Talo Pay. They won't appear in your Talo payouts, but they do appear in:

  • Orders

  • Sales reports

  • Customer timelines

  • CSV exports

  • Transaction history

This gives you full visibility without impacting your settlement deposits.


Frequently Asked Questions

Does Mark as Paid or Other charge the client automatically?

No. Neither option runs a transaction. They simply record the payment you already collected.


Can I choose the specific offline payment method?

Yes — both methods allow you to choose how the client paid (Cash, Check, Zelle, Venmo, Wire, etc.).


Will the customer get a receipt?

Yes, if your notification settings allow it. A confirmation will be sent just like any other completed payment.


Can I record partial payments?

Yes. You can record a partial offline payment and the order balance will update automatically.


Can I still require deposits or enforce cancellation policies?

Absolutely. Your policies still apply whether clients pay online or offline.


Where can I see payments recorded through “Other” or “Mark as Paid”?

They appear in:

  • The order details

  • The Transactions report (labeled as offline)

  • Customer profiles
