How appointment statuses work

Tracking appointment statuses helps you and your team stay organized and ensures you always know what stage each client booking is in. In your dashboard, each appointment can be marked with one of six status options, reflecting its current stage.

Here’s what each status means, and when to use it:

Booked: This is the default status when a client first makes an appointment (either via your booking flow or added manually by a staff member). It indicates that the time slot is reserved but no further action has yet been confirmed.

Confirmed: This status means the client (or your team) has locked in the appointment. It’s commonly used after you or the client verify the time, service details, or payment.

Arrived: Use this when the client shows up for their appointment. Marking “Arrived” signals to your team that the client is on site (or checked in) and ready to be served.

Started: This status indicates the service or session has officially begun. It’s helpful for internal tracking — for example, to report how long appointments actually run or note when work is actively in progress.

No-show: Use this status when a client fails to arrive or attend the session after the scheduled start time. Marking an appointment as “No-show” can trigger any relevant policies, such as applying a no-show fee or sending a notification.

Canceled: Choose this status when either you or the client cancels the appointment before it begins. The slot frees up in your calendar so you can make it available again, and the cancellation is saved in the appointment history for reporting.

How to update an appointment's status

  1. Click Bookings in the main navigation menu.

  2. Click Appointment list.

  3. On the appointment you want to edit, click the View button. The appointment details will be displayed.

  4. Click the status drop-down menu at the top right of the appointment view and select a new status.
