What is a Job?
A job is how you add work to your schedule. It's different than Appointments. You create a job, choose the client, and assign it to your team in just a few clicks. Jobs help you plan when the work will happen, who’s doing it, what services are included, and when the client will be billed.
A visit is each individual time you or your team goes to the client’s location. A job represents the entire scope of work or contract, which may include one visit or many.
Talo supports two types of jobs:
One-off Jobs: These have one or more visits but do not repeat on a schedule.
Examples: spring cleanup, move-out cleaning, HVAC repair.
Typically billed once at the end.
Recurring Jobs: These contain multiple visits that repeat on a regular schedule.
Examples: weekly cleaning, snow removal, monthly lawn mowing.
Typically billed more than once—after each visit, weekly, or monthly.
Once a job is created, its type can’t be changed. A one-off job can’t become a recurring job later—you would need to create a new job instead.
Note: Jobs cannot be merged.
Jobs List
Click Jobs list in the side menu to see all of your work (it may be under Calendar or Bookings). This page shows every job along with its status and quick actions you can take. It’s a central place to keep track of progress so nothing falls through the cracks.
Job Status Overview
On the right side of the Jobs page, you’ll see a summary of all job statuses. Each status has an icon and a number showing how many jobs fall under it.
Job Statuses
Active — Jobs currently in progress.
Upcoming — Jobs with future visits already scheduled.
Today — Jobs that have visits scheduled for today.
Late — Active jobs with visits that weren’t completed by their scheduled date.
Unscheduled — Jobs that have visits created but not yet assigned to a date.
Action Required — Active jobs with no upcoming visits or invoice reminders; these need either more visits scheduled or the job closed.
Requires Invoicing — Jobs with overdue invoice reminders, meaning an invoice needs to be created.
Ending Within 30 Days — Jobs with an end date coming up in the next 30 days. After the end date, they won’t appear on the calendar.
Note: This refers to the job duration, not the date of the last visit. The end date is the start date plus duration.
Archived — Completed jobs that no longer require invoicing. These are fully finished.
