Editing a Job

After you create a job you can edit a job at any time.

To make changes, open Jobs from the side menu, find the job you want to update, click it, then select Edit in the top-right corner (next to More Actions).


Job Title & Instructions

On the job edit screen, you can change the job title and job instructions.

  • The job title appears on your schedule by default. You can change how visits appear on the schedule in Settings → Work Settings.

  • Clients may see the job title on their invoice

  • The instructions field is for internal notes that your team needs to follow. These instructions appear on every visit.

    • If you want instructions to be different on just one visit, edit that specific visit from the calendar.


Job Details

If you need to update the job number, click Change next to it. You can enter a new one, and Talo will continue counting up from the highest number in your system.

If you use custom fields on jobs, you’ll be able to fill them out or update them here.


Job Schedule

One-off Jobs

You can edit:

  • Start and end date

  • Start and end time

  • Arrival window

  • Assigned team

The calendar will show availability by default. You can hide it by selecting Hide Calendar.

Recurring Jobs

You can update:

  • Start and end date

  • Start and end time

  • Repeat frequency

  • Arrival window

  • Assigned team

Changing Assigned Team Members

To remove someone, click the X next to their name.


To add someone, click Assign and choose them from the team list.

How Schedule Changes Affect Visits

If you edit the schedule or team assignment, all incomplete visits will automatically update to match the new settings.


Visits already marked complete will stay unchanged.

You’ll need to confirm the update by clicking I understand before saving.


Invoicing

One-off Jobs

You can choose whether Talo should remind you to create an invoice when you close the job. Just check or uncheck Remind me to invoice when I close the job.

Recurring Jobs

You can switch between:

  • Billing per visit

  • Fixed-price billing

And you can adjust how and when the invoices should be created.


Line Items

If you change a line item (name, quantity, description, or price) on the job, it overrides that line item on any completed visits.

If you update a line item from a visit, the change only applies to that visit.


Custom Visit Line Items

Visits are created using the job’s line items, but sometimes a single visit requires different items—extra materials, a special one-time service, or something unexpected. That’s where custom visit line items come in.

How to Add Custom Line Items

You can get to the visit from:

  • Schedule: Go to Schedule, open the visit, and click Edit.

  • Job: Open the job, scroll to Visits, click the visit date, then select More Actions → Edit.

Inside the visit edit screen:

  • Update quantities by typing into the QTY field.

  • Remove a line item using the trash icon.

  • Add a new line item for that visit only by clicking +.

After saving, you'll see which visits have custom changes listed under each line item on the job view. To see details, open the specific visit.

Note: If you update a visit line-item quantity from the job view, refresh the page to see the changes.

Invoicing with Custom Line Items

When you create an invoice:

  • Only the visits with custom items will include those changes.

  • For fixed-rate recurring jobs, custom visit line items do not transfer to invoices because those jobs aren’t billed per visit.


Delete a Job

To delete a job:

  1. Click Edit on the job.

  2. Select Delete at the bottom-left of the edit screen.

Important: Deleting a job is permanent and cannot be undone.
