Create a Recurring Job

In Talo, there are two types of jobs:

  • One-off jobs (a single visit)

  • Recurring jobs (a repeating schedule and/or recurring invoicing)

A recurring job is useful when:

  • You visit a client on a regular schedule—like every Tuesday

  • You bill the client on a predictable cycle—like once a month or after each visit


How to Create a Recurring Job

You can start a new job from many places:

  • The + New button in the side menu

  • Schedule / Calendar tab → Add button

  • Book button on a client profile

  • New Job on the Jobs list page

  • Convert to Job on an approved quote


Select a Client & Add Job Details

Start by entering a job title—this is usually the type of work you're doing.
The shows up on your schedule.

Then choose the client. Start typing their name and pick them from the list, or click Create New Client.


If you're converting a quote or request, Talo automatically uses the same client.

On the right side, you'll see job details, including:

  • The job number

  • The salesperson

  • Any custom job fields you’ve set up

Job numbers count upward from your highest existing number.


Set Up Your Repeating Schedule

Select the Recurring Job tab under Job Type.

At the top of the scheduling section, you'll see a summary showing:

  • Total number of visits that will be created

  • The first and last visit dates

  • The repeat pattern

Scheduling the Job

  1. Choose a Start Date (when the contract begins).

  2. You can show or hide a preview of the current month’s calendar.

  3. Pick start and end times, or check Anytime to leave the visit unspecific.

  4. If your account uses arrival windows, that section will appear automatically.

  5. Click Assign to choose the team members who will perform the visits.

  6. Open the Job Forms section if you want to attach forms/checklists to every visit.

  7. Set how often the job Repeats:

    • Weekly

    • Biweekly

    • Monthly

    • Custom

      • Multiple days per week

      • Monthly options (e.g., 1st and 3rd Fridays)

      • Annual patterns

    • As Needed (no visits are created until you add them later)

  8. Choose when the job ends:

    • Ends after a certain length of time

    • Ends on an exact date

Job Instructions

Add instructions for your team in the Instructions field.


These:

  • Are internal only

  • Copy to every visit

  • Can be changed per-visit from the schedule if needed


Set Up Your Invoicing Schedule

The Invoicing & automatic payments section shows:

  • How many invoices will be created

  • The first and last invoice dates

Recurring jobs support two main billing styles:

  1. Per visit – charge the client each time you complete a visit

  2. Fixed price – charge a set amount per billing cycle, regardless of visits

Then choose when you want invoices to be generated:

  • Monthly on the last day

  • After each visit is completed

  • As needed – no reminders

  • When the job is closed

  • Custom schedule (e.g., invoice on the 14th and 28th of each month)


Automatic Payments for Recurring Jobs

If you're on a plan that supports automatic payments, you can turn on Auto-charge using Talo Payments.

To use automatic payments:

  • Toggle Automatic payments to ON

  • The client must have a saved card on file

  • Invoices are created automatically and the client’s card is charged on schedule


Add the Products & Services You’re Offering

Add your line items under Products & Services.

Click New line item to add:

  • Name

  • Description

  • Quantity

  • Unit cost (if your plan includes markup tools)

  • Unit price

  • Total (calculated automatically)

A job can include up to 100 line items.

Talo will calculate:

  • Subtotal

  • Property tax

  • Final total

If the job came from a quote with a deposit, you’ll see deposit info on the creation/edit screen. This doesn’t show on the saved job.


Custom Visits (Different Pricing or Services)

Visits start with the same line items as the job, but you can customize individual visits—for example:

  • A one-time service

  • Extra products

  • A different quantity

How to Customize a Visit

Go to the visit from:

  • Schedule → click visit → Edit

  • Job → scroll to Visits → click date → More Actions → Edit

Inside the visit editor, you can:

  • Change quantities

  • Remove items

  • Add extra items (using the + button)

After saving, the job view will show which visits differ from the main job setup.

When invoicing:

  • Custom visit items only transfer for the visit dates they belong to

  • Fixed-rate recurring jobs do not include custom visit items (they aren’t billed per visit)


Add Internal Notes & Attachments for Your Team

Use the Internal notes & attachments section to add:

  • Team-only notes

  • Photos

  • Files

Clients never see this section.


You can drag and drop attachments directly into it.


Save the Job

There are two ways to save:

Save Job: Saves and returns you to the top of the job page.

Save and...: Saves and performs another action, such as:

  • Email booking confirmation

  • Text booking confirmation
