Create a One-Off Job

In Talo, there are two types of jobs:

  • One-off jobs – for work that happens once, or over a short period

  • Recurring jobs – for work that repeats on a schedule

Use a one-off job when:

  • You only need one visit, or

  • You have several visits, but you’ll invoice the client after the last visit
    (for example, a 4-day project billed at the end)

Talo’s Jobs page has been updated to make it easier and faster to build and manage jobs.


How to Create a One-Off Job

You can create a job from several places:

  • The + New button in the side menu

  • Schedule / Calendar tab → Add button

  • Book button on a client profile

  • New Job on the Jobs list page

  • Convert to Job on an approved quote


Select a Client and Add Job Details

Start by entering a job title in the Title field.

  • This is usually the type of work you’re doing (e.g., “House Cleaning” or “Furnace Repair”)

  • It shows on your schedule

Next, choose a client:

  • Type a name in the Select a client field and pick them from the list, or

  • Click Create New Client if they’re not in your account yet

If you’re converting from a request or quote, the job will automatically use the same client.

On the right side, you’ll see job details, including:

  • Job number – Job numbers go up from the highest number in your account

  • Salesperson

  • Any job-level custom fields you’ve created

If you want a new custom field that appears on all jobs, click Add field.


Set Up Your Schedule

To create a one-off job, make sure the One-Off Job tab is selected under Job Type.

At the top of the schedule section, you’ll see a quick summary showing:

  • How many visits this one-off job will have

  • The date of the first visit

Scheduling the Job

  1. Start Date

    • Pick the date when work will begin

    • You can use the current month schedule preview (Show/Hide Calendar)

  2. Start & End Time

    • Choose the visit start and end times

    • If you don’t choose a time, the visit will be an Anytime visit

  3. Arrival Window

    • If your account uses arrival windows, a section appears after you set a date/time

    • The duration comes from your work settings

  4. Schedule Later

    • If you’re not sure when you’ll do the job, select Schedule later

    • The job will be created in Unscheduled status with an unscheduled visit

    • You can schedule it when you’re ready

  5. Assign Team Members

    • Click Assign to add team members to this job’s visits

    • If you don’t assign anyone, visits stay unassigned and can be assigned later

  6. Job Forms

    • Click Job forms to attach forms or checklists

    • Forms added at the job level apply to all visits

    • These are useful for standardizing how your team collects information on site

  7. Repeat Settings

    • For one-off jobs, the default is Does not repeat

    • If needed, you can still set the job to repeat:

      • Daily

      • Weekly

      • Monthly

      • Custom (weekly, monthly, or yearly patterns; multiple days, e.g., Mondays and Wednesdays, or 1st and 3rd Fridays)

    • As Needed – We Won’t Prompt You: choose this if you don’t want scheduled visits yet. Visits can be created later.

  8. Instructions for the Team

    • Use the Instructions field for internal directions

    • Clients do not see these

    • Instructions are copied to all visits by default

    • You can edit instructions for a single visit from the schedule; changes there only affect that visit


Set Up Your Invoicing Schedule

By default, Remind me to invoice when I close the job is selected.

  • When you close the job, Talo creates an invoice reminder

  • An active invoice reminder puts the job into Requires invoicing status

  • This lets you include it in batch invoicing

If you don’t want to invoice this job through Talo:

  • Uncheck this option

  • When the job is completed, it will move to Archived status

  • You won’t be prompted to invoice it


Add Your Line Items, Labor, and Expenses

This section includes:

  • Profit bar (on certain plans)

  • Line items (products & services)

  • Labor (time entries)

  • Expenses

Together, these are used for job costing.


Profit Bar (Coming soon)

One-off jobs show a profit bar as part of Talo’s job costing.

You can:

  • Click Hide Profitability to collapse it

  • Click Show Profitability to expand it again

The profit bar shows your margin, revenue, costs, and profit for this job.


Line Items

Line items are the products and services you’re providing on this job.

  • They can be chosen from your products/services list, or

  • Added as custom line items just for this job

To add a new line item:

  1. Click Edit on the job

  2. Scroll to the Product / Service section

  3. Click New Line Item

A job can have up to 100 line items.

For each line item, fill in:

  • Name – what you’re selling (product or service)

  • Description – more detail if needed

  • Quantity – how many units

  • Unit cost ($) – your cost to provide it (on eligible plans)

  • Unit price ($) – what you charge the client

  • Total – auto-calculated as quantity × unit price

For one-off jobs:


If a specific visit needs an extra product or service, add that item to the job, not the visit.

Talo will:

  • Sum all line items for a subtotal

  • Apply the property’s tax rate

  • Show the total job amount

If the job came from a quote with a required deposit, you’ll see deposit information while creating or editing the job. It does not show on the saved job itself—only in the create/edit screen.


Labor (Coming soon)

The Labor section shows time entries for this job.

Time can be logged by:

  • Using timers in the Talo mobile app, or

  • Clicking New Time Entry from the job, or

  • Adding time from the Time Sheets tab in the left navigation

These time entries are used in job costing to calculate labor costs.


Expenses (Coming soon)

The Expenses section lists any costs tied to this job, like materials bought or other job-related spending.

To add an expense:

  • Click New Expense and fill out the details

These are also included in your job costing.


Job Costing (Coming soon)

Job costing helps you understand whether you’re making money on a job.

It looks at:

  • Line items – including unit costs and unit prices

  • Labor – from timesheets and employee cost rates

  • Expenses – any extra costs logged on the job

On one-off jobs, you’ll see:

  • A section for line items, timesheets, and expenses

  • A profit bar summarizing:

    • Profit margin % (profit ÷ revenue × 100)

    • Total price (pre-tax revenue from line items, excluding discounts)

    • Total line item costs

    • Total labor costs

    • Total expense costs

    • Profit (revenue – total costs)

    • A visual breakdown of costs vs. profit

These numbers are internal only—clients never see them.


Only team members with the right permissions can view the profitability.

To fill the profit bar:

  • Click Calculate Profitability

You can manually add or adjust cost values if some data is missing from before job costing was introduced.


Add Internal Notes and Attachments

Use the Internal notes & attachments section to share:

  • Notes for your team

  • Photos from the site

  • Files or documents

Clients cannot see anything in this section.

You can drag and drop files right into it.


Save the Job

When you’re done setting up the job, make sure to save it. You have two options:

  • Save job

    • Saves your changes and takes you back to the top of the job page

  • Save and…

    • Saves the job and lets you do something else at the same time, such as:

      • Email booking confirmation to the client

      • Text booking confirmation to the client

That’s it—your one-off job in Talo is ready to schedule, assign, and invoice.
