Syncing your booking calendar with Google Calendar

Updated this week

You can keep your work and personal schedule in one place by syncing your Talo booking calendar with your Google Calendar.

Your team can also sync their calendars so they don’t get double-booked between personal plans and client appointments.

Please review how calendar syncing works to understand what will and won’t transfer between calendars.

How to sync your booking calendar with Google Calendar

When you connect your Google Calendar to Talo, all of your appointment, classes, sessions, and bookings appear in both calendars.

Your personal events from Google will also block off time in your Talo calendar so clients can’t book over them.

Steps to sync:

  1. Go to Booking Calendar in your Talo dashboard.

  2. Click More at the top.

  3. Select Sync personal calendar.

  4. Click Sync next to Google Calendar.

  5. If asked, choose the Google account you want to connect and click Allow so Talo can sync your events.

  6. If needed, select the staff profile you want to link to your Google account and click Connect Your Account.

Customize your sync settings

You’ll see two main options:

  • Import Google Calendar events: Turn this on if you want your personal Google events to block time in Talo. (All-day events are ignored.) You can also choose to show these imported events as Busy on your Talo calendar.

  • Export Booking Calendar events: Turn this on to show your Talo bookings and blocked times inside your Google Calendar.

Click Save when you're done.

Unsyncing calendars

If you choose Unsync, all past and future Talo bookings will be removed from your Google Calendar, and all Google events will stop appearing in your Talo calendar.

Inviting staff to sync their calendars (Coming soon)

Staff members can sync their calendars to avoid scheduling conflicts. They must be registered in Talo and have the correct permissions.

Once invited, each team member receives an email with a link to sync their calendar.

On the Staff page, you’ll see their profile update once Google Calendar is connected.

Important: Your staff’s personal events stay private. Talo will only show this time as Busy, never the event details.

How to invite staff to sync:

  1. Go to Staff in your dashboard.

  2. Choose the staff member.

  3. Click Invite to Sync Calendar.

  4. (Optional) Edit the email message.

  5. Click Email Invite.

Once they click the link in their email, their calendars will sync.

Troubleshooting Google Calendar syncing

If you don’t see events from Google in Talo—or Talo events in Google—try these steps:

Step 1: Check the connected Google account

Make sure you’re logged in to the same Google account that is synced in Talo.
You can hover over the info icon next to the staff profile to confirm which account is connected.

Step 2: Make sure the event is on your primary Google Calendar

Talo syncs only with the primary calendar in Google. The primary calendar appears at the top of your calendar list.

Step 3: Review third-party apps you use

Events created in apps like Calendly, Square Calendar, or others may not sync automatically. If an event didn’t originate in Google Calendar, re-add it directly in Google so it can sync to Talo.

Step 4: Check if the event is “all day” or marked as “free”

All-day and free events do not show in Talo. Add a start and end time to block your availability properly.

FAQs

Which Google calendar can I sync with Talo?

Only your primary Google Calendar can sync with Talo Bookings.

What happens after syncing?

  • Booking sessions from Talo appear on your Google Calendar.

  • Your Google Calendar events block off time in Talo to prevent double bookings.

Do all-day Google events appear in Talo?

No. All-day events don't block time in Talo. To protect your availability, add a start and end time instead of using the “All Day” option.

How do Google events show inside Talo?

You can choose whether Talo shows the full event details (name, location, etc.) or just Busy. Only the calendar owner sees the full details—other staff members will see your time as Busy for privacy.
