How to cancel or extend a class schedule

There are a few ways to update, cancel, or adjust class schedules.


This guide covers canceling sessions and extending a schedule. For moving a single class session, see the article on rescheduling classes.


How to edit a class a schedule

  1. Go to Classes and find the Schedule you want to edit.

  2. Click the three dots next at the end of the row

  3. Click Edit Schedule in the popup menu

  4. Here you can edit any of the following:

    • Change End date

      • You can only extend the date into the future

      • This can affect Pricing, see below.

    • Add or remove dates for holidays and closings

      • You will be unable to block dates that have an active booking sessions already scheduled. You will need to cancel that session first.

    • Change Start and End Times

    • Change class location

    • Change number of max participants

    • Restrict registrations by age

    • Change roster format

    • Modify Booking policy

    • Change assigned team members

    • Select payment preferences

    • Add or remove resources

  5. Click Save & close


How to cancel a specific class session

  1. Go to Classes and click the Schedule you want to edit. Or find the class session from your calendar.

  2. Click the class session you want to cancel to open the Class Session Drawer.

  3. Click on Actions at the bottom

  4. Select Cancel Session.

Notes:

  • Canceling notifies participants but does not issue refunds.

  • If any participants have already paid, you can issue a refund directly via their order.

  • When proration is off, canceling a day does not change schedule pricing for new customers.

  • If Proration is On, new customers will be given the prorated rate based on active sessions.


Schedule pricing and proration after editing

Canceling a day removes it from proration calculations, but extending a schedule adds more days.

Existing enrollments:

  • Participants who have already enrolled in Full Schedule or Monthly will automatically be enrolled into any new class sessions created.

  • These existing participants will not be charged any extra. To charge them, you can start a new checkout or create a one-off invoice.

New enrollments:

  • Proration = total price ÷ number of active sessions.

  • If Proration is On, new customers will be given the prorated rate based on the new number active sessions.

  • If Proration is Off, new customers will be charged the standard pricing set

Important:

  • Participants enrolled before the change will be auto-enrolled in new dates.

  • New registrations also include the updated schedule.

  • Notifications of cancellations and updated schedules are sent automatically.
